Introduction
This Privacy Policy explains how Servbases collects, uses, stores, shares, and protects personal information when people visit our website, contact us, purchase services, or use websites, apps, booking systems, dashboards, messaging tools, payment integrations, or other digital systems we create or maintain.
This document also serves as our privacy notice for users and clients in Mexico.
Personal Information We Collect
We may collect names, email addresses, phone numbers, business names, billing details, project information, messages, account access details, device information, IP address, browser data, usage data, cookies, payment status, booking information, support requests, and other information provided through forms, emails, SMS, dashboards, or client systems.
How We Use Information
We use information to provide services, communicate with clients and users, build and maintain websites and software, process invoices and payments through third-party processors, provide support, send transactional messages, improve security, prevent fraud, comply with legal obligations, and manage our business.
Servbases may process customer data on behalf of business clients. In those cases, the client controls its own relationship with its customers, users, members, attendees, or patients. Servbases provides technology infrastructure and support only and does not own, operate, manage, supervise, or control the client's underlying business. The client remains responsible for having the proper privacy notices, disclosures, and consents in place for its own customers and for instructing Servbases on what data should or should not be collected or processed.
Business Client Data Processing
Where Servbases processes personal data on behalf of a business client, the client generally acts as the controller, business owner, or operator of that data, and Servbases acts as a service provider or processor, depending on applicable law and the specific service. The client is responsible for: having the proper legal basis to collect and process its customers' data; providing required privacy disclosures and obtaining required consents from its customers; instructing Servbases on what data to collect, process, store, or delete; and complying with applicable privacy and data protection laws for its own business.
Servbases is not responsible for the client's misuse of customer data, the client's failure to provide required privacy notices or consents to its own customers, or data practices that fall outside the services Servbases directly provides. Where required by applicable data protection law, the parties may enter into a separate Data Processing Agreement before Servbases processes personal data on behalf of the client.
Sharing With Service Providers
We may share information with trusted providers such as hosting providers, database providers, payment processors, domain registrars, email providers, SMS messaging providers, analytics providers, support tools, contractors, and professional advisors, only as needed to provide services, operate our business, protect rights, or comply with law.
Payments
Payments may be processed by third-party payment processors such as Stripe. We do not intentionally store full credit card numbers on our own servers. Payment processors handle payment information under their own terms and privacy policies.
SMS and Transactional Messages
If a person provides a phone number, we or our clients may send transactional messages such as booking confirmations, queue updates, appointment reminders, payment notices, or support messages. Promotional messages should only be sent with proper consent where required by law. Users should be able to opt out where applicable.
Cookies
We may use cookies and similar technologies for essential site functionality, security, analytics, preferences, and marketing measurement. People can control cookies through browser settings. If we use non-essential analytics, ads, or tracking pixels, we should provide an appropriate cookie notice and consent controls when required.
Data Retention and Security
We retain information only as long as reasonably necessary to provide services, maintain accounts, comply with legal, tax, and accounting obligations, resolve disputes, enforce agreements, and protect our systems. We use reasonable technical and organizational measures such as HTTPS, access controls, permissions, secure hosting, backups, and limited access. No system is 100% secure.
Privacy Notice for Mexico
For users in Mexico, Servbases is responsible for the personal data it directly collects through its website and business communications. People may request access, rectification, cancellation, or opposition regarding their personal data, and may revoke consent where applicable, by emailing caleb@servbases.com. Requests should include the person's name, contact information, description of the request, and documents reasonably needed to verify identity.
EU / UK Privacy Rights
People in the EU or the UK may have rights to access, correct, delete, restrict, object to, or receive a copy of personal data, and may have the right to withdraw consent where processing is based on consent. Some rights may be limited by legal obligations or by the nature of the service.
California / United States Privacy Notice
California residents may have privacy rights depending on applicable law, including rights to know, access, correct, delete, and opt out of certain uses of personal information. We do not sell personal information. If our business later becomes subject to specific U.S. state privacy laws, we will update this Policy accordingly.
Children
Our services are not intended for children under 13 unless specifically agreed for an educational, family, or child-oriented project with appropriate parent, guardian, school, or institutional consent. We do not knowingly collect personal information from children without required consent.
International Transfers
We may operate internationally and use providers in different countries. By using our services, users understand that information may be processed outside their country of residence.
